How to Use QuickBooks Timesheets

Registering Your Employees for Time Tracking
Step 1: On QuickBooks, click on “Employees” and select “Employee Center.”
Step 2: View an employee’s profile by double-clicking on the employee’s name.
Step 3: Once you have opened the employee’s profile, select “Payroll Info” and tick the checkbox for “Use time data to create paychecks.” This option enables QuickBooks to prepare the payroll based on the employee’s timesheet data.
Step 4: Select “OK” to save the settings and close the employee’s profile. You have successfully registered your employee for time tracking.
Entering Employee Time Information
Step 1: Click on “Employees,” select “Enter Time” and click on “Use Weekly Timesheet.”
Step 2: Once you open the timesheet, you will see various optional columns that allow you to record data based on your business.
Step 3: Select the calendar option to set the week you want to enter and select the employee’s name from the “Name” drop-down menu.
Step 4: Select “Payroll Item” from the columns to choose the billable period you pay your employees. If you pay your employees an hourly rate, select “Hourly.”
Step 5: Under the columns representing the days of the week, enter the hours the employee worked in the respective days.
Step 6: If you are billing time to the customer, enter the second row and select the customer under the “Customer Job” column. Then click on the billable service under “Service Item,” choose the correct payroll item and input the hours under the respective days of the week. To ensure that QuickBooks includes the time in the subsequent invoice to your customer, select “Billable.”
Step 7: You can also input employee vacation hours in the third row. After including all the values, select “Save and Close” to save and close the timesheet or “Save and New” to save the current timesheet and work on a new one.
