In this release, you’ll find that Gantt charts are even better and easier to use. See how much a task can be extended without affecting the project’s Critical Path. Or create a baseline so you can easily compare the changes you make. But that’s not all. We’ve also introduced a new item-based billing calculator. That way, you can include various task-fee types on a single invoice. And we’ve included Budget Notifications, which notifies team leads about a project’s budget status. Now it’s easy to see which projects need immediate attention. We’ve got a lot of changes to share, and have summarized them below. Read on to learn what you can expect from this release.

Budget Status Notifications

See which projects need your attention with Budget Notifications. System admins can set up three levels of alerts that notify team leads about a project’s budget status. For example, MMM Media has a budget of $10,000. The team lead for this project will receive a notice when the budget for this project exceeds $5,000 (or 50% of the budget), $7,500 (or 75% of the budget), and $12,000 (or 120% of the budget). Team leads can see these notifications in their BigTime inbox, as well as their email and Slack.

Create a Baseline of Your Gantt Chart

Compare the changes you’ve made on your Gantt chart with a previous version, before changes were made. You can do this when you create a baseline, which captures a snapshot of your Gantt chart at a certain moment in time.

Approximate a task start/end date

When adding a task to your Gantt chart, you can approximate the start and end dates, as well as the budget. This feature is available when Auto Adjust Fields is enabled.

Bulk Actions on your Gantt chart

Use Bulk Actions on your Gantt chart to make the same change for multiple tasks or subtasks. You can reassign, delete, or mark complete the selected tasks. You can also “bulk link” your checked selections to create links between your selections.

Show free slack on your Gantt chart

See the free slack you’ve got available when you’re using the Critical Path. Free slack shows you how much a task can be extended without affecting the project’s Critical Path. In the image below, the free slack is denoted by the light green color.

Item-based billing

Use item-based billing to include various task-fee types on a single invoice. Bill each task as a T&M, Milestone, Percent Complete, Retainer, or Non-billable line item. Retainer fees bill the same amount for each invoice. You’ve just added several tasks to a new project, and you want to link them in your Gantt chart. Save yourself some time and have BigTime do this for you. Auto-Link creates links (dependencies) between tasks, as long as there aren’t existing task links (see image below).

Markup on expense codes

Add a percent markup on your expense code. The markup value will be applied when invoicing that expense.

Bulk email invoices

You decide who receives your emailed invoice. You can select your contacts (billing, primary, other, etc). Or add an email address on the spot—without creating a contact first.

Change approval status on a time or expense entry

The system admin can change the approval status of a time or expense entry by clearing approval history, which removes the approvals associated with the entry.

Utilization dashboard percentages

Get your Utilization Dashboard details at-a-glance on your home dashboard (see the left tile in the image below). Click on the “i” icon to go directly to this dashboard.

Show overall total accounts receivable (AR) on invoice templates

On your invoice templates, you can activate an option to show the overall AR total of unpaid invoices. This will give a total value of unpaid invoices rather than providing a list of each invoice.

Bulk update projects

When you select Bulk Actions on your Project List, you’ll have the option to update, delete, or deactive multiple projects all at once.

Separate default service items for time and expenses when posting invoices

In QuickBooks Integration Settings, you can select a different default service item for time and expenses. If you have expenses on your invoice, users can choose a separate default service item to post to. However, if no default item is selected for expenses, it’ll default to the selected service item.

Show allocation totals for other projects in resource allocation

Use the Resource Allocation editor to see staffer allocation for other projects. That way, you can see if there’s room to allocate more hours to staffers.

Task Dashboard access

Activate the two user rights below to enable users to view all tasks on the Task Dashboard: 1. View/Manage any Project >2. Act as Task/Activity Administrator If a user doesn’t have “View/Manage Any Project” enabled, then they should see all tasks for their projects regardless of who’s assigned to them. Other fixes and features in this release:
  • When choosing to show AR, invoices with a “drafted” status will not be included on a printed invoice.
  • Rename an expense report when resubmitting a rejected expense.
  • Adjust column sizes on custom bill and cost rates.
  • Have BigTime remember the setting “Populate line item notes with the notes from each category” when creating an invoice and subtotaling by labor code/category.
  • When saving allocations in Resource Allocation, you have the option to update the fee budget based on the bill rate multiplied by hours allocated.
  • See total time and expense amounts on invoice tabs in your drafted invoice.
  • Include a “total billed” status on your invoice PDF.
  • Copy allocations, in Resource Allocations, from one project to another.
  • Copy tasks and their information in the Task Editor.
  • Copy custom cost rates from another project.
  • The same project role can be saved in the Resource Allocation editor.
  • Print your Gantt chart.
  • Use Auto-Save on your Gantt chart, to have BigTime automatically save your changes.
  • Add a recurring task on your Gantt chart.
  • Copy a task in your Gantt chart. (Note: links are not copied.)
  • Use the filter on audit note in DCAA reports.
  • There are help/info icons on reports and dashboards. Click on these icons for additional information, descriptions, or definitions.
  • Group and filter simultaneously in reports and on dashboards.
  • Use the “free capacity report” to see which users have free capacity for a given period.
